One Story

The SquirrelDocs squirrel Maple Bakery Books' October.

How one monthly close moves through SquirrelDocs — the setup, the link, the chase, and the close. Sample story: Maple Bakery Books is a demonstration firm; every message and screen below is the product's real format.

The short version: Set up each client's list once. Send one link — no client account, ever. SquirrelDocs chases only what's still missing, and stops when the list is done.

September 30 — the list builds itself.

Maya, who runs Maple Bakery Books, forwards the last chase email she sent Juniper Café. SquirrelDocs compiles it into Juniper's recurring list: bank statements, credit card statements, the POS sales report, payroll summary, receipts over $75, and the sales tax worksheet — due on the 15th, every month. She changes nothing.

October 1 — one link.

Sam, who owns Juniper Café, gets a single email: here's your list, here's your link. No account, no password, nothing to install — the same link works every month.

Subject: Here's your document list for October 2026

Hi Sam — we're closing October 2026 for Maple Bakery Books. Here's everything we need from you: …

October 6 — the wrong month, caught.

Sam uploads four items from his phone in one sitting. The POS report is September's — the Wrong-Document Guard flags it before it counts:

Quick check before this counts as sent

This report ends September 30 — we need October.

He sends the right export. The wrong file never reaches Maya's close.

October 12 — the reminder that shrank.

Two items are still out. The reminder names ONLY those two — payroll summary, receipts over $75. The four received items never appear; that's the Reminder-Accuracy Guarantee, and it's automatic.

Subject: October 2026 closes in 3 days — these items are still missing

October 13 — a promise and a 'doesn't apply'.

Sam taps Promised on the payroll summary — it lands after payroll runs on the 14th — and marks receipts Not Applicable: no purchases over $75 in October. Both are complete answers. Chasing adjusts around them instantly; nothing nags him about either again.

October 14 — done, a day early.

The payroll summary arrives. The list is complete, and Sam gets his "You're Done" receipt. On Maya's side, Juniper's row on the One-Screen Close Sheet turns green — Ready to Close. Maya sent zero chase emails this month.

You're done. 🎉 All done — thank you! Everything on this list is received or marked not applicable.

November 13 — the pipe empties itself.

Thirty days after the close, Juniper's October files are deleted automatically under Maple's retention setting, and a deletion certificate is issued — SquirrelDocs is a delivery pipe, not a vault. November's list is already waiting on the same link.

That's the whole product: ask once, chase accurately, stop. — Your firm's October could read the same.
